Permanent: $80,000 per annum

JOB DESCRIPTION

Administrator: Community Relations and Events

POSITION TYPE AND HOURS

This is a permanent full-time position working forty (40) hours per week.

PURPOSE OF THE POSITION

The Administrator for Community Relations and Events is the administrative lead for community relations and the planning and coordination of events including the Métis Festival, Infinity Métis Golf Tournament, Elders Christmas Celebration, and such other events as occur from time to time. Duties are performed at various levels within the defined title.

QUALIFICATIONS          

A combination of post-secondary education and direct work experience in communications, event planning, marketing, and media relations; and

Must be proficient in the use of graphic design software;

REQUIREMENTS

Must be willing to attend evening and weekend meetings; and

A personal vehicle for business use is required.

DUTIES AND RESPONSIBILITIES

Communications

Act as the media liaison for the General Manager and Local Council Members as required;

Manage website and social media in collaboration with General Manager;

Evaluate current events and media reports for impact on McMurray Métis;

Develop and implement media, communications, and public relations strategies;

Take photographs at activities and events; and

Create and distribute quarterly newsletter and Annual Report including:

Collecting materials, pictures, stories to go in newsletter from office staff, Local Council members, consultants, and members as appropriate;

Budgeting each edition, this will include cost of printing and mail out; and

Compiling all information required for newsletter and Annual Report.  Each edition to be sent out to the membership, community organizations, industry, and businesses that interact with the McMurray Métis.

Community Relations

Identify, develop, and maintain external relationships with community organizations;

Interact with agencies, associations, networks, boards, vendors, multi-stakeholder groups, and community members; and

Explore opportunities for partnerships with community organizations that will further the McMurray Métis mission.

Event Coordination

Act as lead organizer all McMurray Métis related events;

Coordinate services, such as venue, accommodation and transportation of participants, catering, signage, displays, audiovisual equipment, printing, etc;

Conduct research, make site visits, and find resources to help in making decisions about event possibilities;

Negotiate the type and cost of services to be provided within a budget;

Prepare contracts consistent with accurate information and details pertaining to the specific event;

Source speakers and entertainment options;

Create and revise room layouts for each event;

Propose new ideas to improve the event planning and implementation process;

Serve as liaison with vendors on event-related matters;

Coordinate marketing of event and promoting sponsorship through mail, phone, website, newspaper, radio, television;

Recruit and motivate volunteers;

Develop project budgets for each event;

Edit and design materials for each event;

Close out all events as required;

Collect and analyze data on projects undertaken and report on project outcomes; and

Prepare and present reports on status and proposals for approval of events.

Coordinate internal local council, staff, and member scheduling for community and McMurray Métis activities, events, and meetings;

Participate in board meetings as requested; and

Perform other related duties as required by the Office Manager/General Manager.

REPORTS DIRECTLY TO

Office Manager on human resources and scheduling files; and

General Manager on communications and community relations files.
